Creating Repair Order from Website
Customers can submit a machine repair order from the website by entering customer and machine details, including the machine, machine name, serial number, warranty status, and warranty type. After providing the required information, they can click Submit to create the repair order.
Repair Order Successful
After submitting the repair order form, customers receive a confirmation message indicating that the repair request has been successfully submitted.
Repair Order Backend Updation
Once the repair order is submitted from the website, the customer, machine, serial number, warranty, and other repair details are automatically updated in the backend Repair Order for further processing.
Repair Order Serial No Validation
The system validates the Serial No. against the selected machine. If an invalid serial number is entered, the repair order cannot be submitted and an “Invalid Serial No.!” warning is displayed.
How to Create Repair Order
Manager can create a repair order by adding customer and machine details, including the machine, machine name, serial number, warranty information, and other relevant repair details.
The repair order can also be assigned to a technician with a defined priority for efficient repair management.
Machine Service Details
In the machine details, you can specify whether the machine is under warranty and select the warranty type as either paid or free. You can also select the nature of service and add relevant service details or descriptions.

Machine Repair Order Ready
After entering all the required machine and service details, the machine repair order is ready for processing.
User can save the repair details and print the repair receipt to provide the customer with a record of the submitted machine repair request.

Print Machine Repair Receipt/ Label
Manager can print the machine repair receipt and repair label from the repair order. These documents include important repair and machine details and can be provided to the customer for reference and identification of the machine repair order.
Machine Repair Receipt Report
The Machine Repair Receipt Report provides a printable summary of the repair order, including customer details, receipt number, date of receipt, machine, model number, serial number, warranty status, service type, and service details. This receipt can be printed and provided to the customer for reference.

Create Machine Diagnosis
Manager can create a machine diagnosis in one click from the repair order. The diagnosis automatically carries the relevant customer and machine information from the repair order, after which it can be assigned to a specific technician for further inspection and diagnosis.


Assign to Technician
Manager can select a technician from the assignment wizard and click Assign to assign the machine diagnosis to the selected technician for further inspection and service.
Add Machine Diagnosis Result
The assigned technician can review the repair order description and inspect the machine to record the diagnosis result. The technician can enter the findings and, if required, add the spare parts needed for the repair along with the diagnosis details.
Diagnosis Report
The Diagnosis Report provides a detailed view of the machine diagnosis, including the machine information, spare parts required, product codes, quantities, unit prices, and diagnostic results. Technicians can review and update the diagnosis details before completing the diagnosis.
Print Machine Diagnostic Report
Manager can print the Machine Diagnostic Report, which includes both the Machine Diagnostic Request and Machine Diagnostic Result. This provides a complete record of the machine inspection, including the requested service details, diagnosis findings, and required spare parts.
Machine Diagnostic Request Report
The Machine Diagnostic Request Report provides a printable record of the diagnostic request, including customer details, contact information, date of receipt, machine, model number, serial number, warranty status, service type, and service details.
Machine Diagnostic Result Report
The Machine Diagnostic Result Report provides a printable summary of the completed diagnosis, including customer details, machine information, serial number, warranty status, diagnostic results, required spare parts, and product codes. This report helps maintain a clear record of the technician's findings and required parts.
Create Quotation
After adding the diagnostic results, Manager can create a quotation based on the identified repair requirements and spare parts. The quotation can then be sent to the customer by email for review and approval.
Confirm Sale
After reviewing the quotation and required spare parts, the Manager can click “Confirm” to confirm the sale order and proceed with the repair process.
Quotation Report
The quotation report provides a complete summary of the repair quotation, including the customer details, quotation date, expiration date, salesperson, machine information, model number, required spare parts, quantities, unit prices, taxes, and total amount.
View Work Order
Once the quotation is confirmed, it is converted into a Sales Order following the standard Odoo workflow, and a Work Order is automatically created for the repair process.
The assigned technician can open the Work Order to begin working on the machine. When the technician clicks START, the system automatically records the start date and time, helping track the repair progress accurately.
Start Work Order
Once the Work Order is created, the assigned technician can click START to begin the repair process. The system automatically changes the Work Order status to In Progress and records the actual start date and time.
The Work Order also displays important repair information, including the client, machine details, serial number, guarantee status, planned schedule, duration, and hours worked, allowing the technician to track the repair process accurately.


Pending Work Order
The technician can click PENDING to temporarily put the Work Order on hold when the repair cannot be continued immediately. The Work Order remains in progress and can be resumed later to continue the repair process.
Resume Work Order
When a Work Order is in Pending status, the technician can click RESUME to continue the repair process. The Work Order moves back to In Progress, allowing the technician to continue working on the machine until the repair is completed.

Finish Work Order
Once the technician finishes the repair, the Work Order is moved to Finished status. The system automatically records the end date and time and calculates the total repair duration, providing an accurate record of the time spent on the work.
The completed Work Order can also be used to generate a Work Order report for documentation and future reference.
Print Machine Workorder Report
Manager can print the Machine Work Order report from the completed Work Order. The report provides a detailed record of the repair process, including work order details, customer information, machine details, repair dates, and recorded work duration for documentation and future reference.
Machine Workorder Report
The Machine Work Order Report provides a complete overview of the repair work, including client details, contact information, date of receipt, machine details, model number, serial number, guarantee status, service details, and diagnostic results.
It also lists the spare parts identified during diagnosis, along with their product codes, providing a complete record of the machine repair process for documentation and future reference.
Create Invoice
Once the Work Order is completed, the Salesperson or Accountant can generate an invoice directly from the Sales Order. The invoice can then be printed or sent to the customer by email.
The standard Odoo invoicing workflow continues from this point, allowing the user to review and validate the invoice and register the customer payment.


Machine Invoice Report
The Machine Invoice Report provides a complete summary of the repair invoice, including invoice details, customer information, invoice and delivery dates, source sales order, machine details, model number, spare parts, quantities, unit prices, taxes, and total amount.
It provides a clear financial record of the completed machine repair and can be used for customer billing, payment processing, and future reference.
Machine Products Menu
Access Machine Products from the Products menu to easily view and manage all products used for machine repair. The menu also provides quick access to the quotations and sales orders generated from machine repair orders, making it easier to track related products and sales activities.

Access Rights and Roles
We have four different access groups for machine repair module.
Roles
- Technician :- Technician can work on work order.He/She can only see his/her work order and only work on his/her assigned work order.Technician can only have reading access to diagnosis and repair order.
- Head Technician :- Head technician can see all work order also able to assign a technician on a dignosis and work order. He/she has access to enter dignosis result. He/She cannot change any thing on a repair order.
- Service Manager :- Service Manager creates repair order.convert it as a dignosis able to create quotations.
- Director Commercial :- Director Commercial is the admin of this system he/she has full access rights of every thing.
